How to say no politely
To say no politely, answer soon, say no clearly in the first line or two, give a short reason only if you want to, and close kindly. You don't owe a long explanation, and a vague maybe usually causes more trouble than an honest no. Below are messages you can copy for the most common situations.

The basics of a polite no
Most people find it harder to say no than to hear it. So they wait, write a long apology, or answer with "maybe" and hope the request goes away. That usually makes things worse. The other person keeps planning around you, and the eventual no lands later and harder.
A good no is short and kind. It thanks the person, says no in plain words, and if it fits, offers something else. You don't have to invent an excuse. "I can't make it" is a complete answer.
- Reply soon. A quick no is kinder than a slow one.
- Put the no near the top so it can't be missed.
- Keep the reason short, or leave it out.
- Don't promise a later yes you don't mean.
- Offer an alternative only if you'd really do it.
How to decline an invitation
For parties, dinners and events, thank them first so they know you appreciate being asked. Then say you can't come. If you'd like to see them another time, say so and suggest when.
A friend's party
Thanks so much for inviting me! I can't make it on Saturday, but I hope it's a great night. Let's get dinner soon, just the two of us.
A wedding you can't attend
Thank you for the invitation. We're so happy for you both. Sadly we won't be able to be there, but we'll be thinking of you on the day and would love to celebrate with you when we're back.
A work event
Thanks for the invite. I won't be able to join this time, but I hope it goes well. Could you share the slides afterward?
How to say no to extra work
At work, a no is easier to accept when it shows you've thought about it. Say what you're already working on and what would happen to it. If the request matters, ask your manager to help you choose what to drop.
To a coworker
I'd like to help, but I'm full this week with the launch. I can't take this on without missing that deadline. If it can wait until next Tuesday, I can look at it then.
To your manager
I can take this on, but something else would have to move. Right now I'm on the client report and the budget review. Which one should I push back?
A meeting you don't need
Thanks for including me. I don't think I'm needed for this one, so I'll skip it to stay on the report. Could someone send me the notes if anything comes up for my team?
How to say no to a favor
Favors are personal, so the no can feel heavier. Be warm and direct. If there's a smaller thing you're glad to do, offer that instead of the whole favor.
Helping someone move
I'm sorry, I can't help with the move this weekend. I already have plans I can't change. I'd be happy to drop off dinner on Sunday night when you're unpacking, though.
Watching a pet
I wish I could, but I can't take Max this time. I'm away part of that week. Have you tried the sitter on Elm Street? I've heard good things.
How to turn down a date
Be clear and kind, and don't leave the door open if you don't want it open. A soft "maybe some other time" often leads to another ask. You don't need to explain why.
Someone you just met
Thank you for asking, that's really kind. I'm not interested in dating, but I enjoyed talking with you.
A friend
I'm flattered you asked. I care about you a lot, but I only see us as friends. I hope that's okay, and I'd still love to hang out like we always do.
How to say no to a sales pitch or a request for money
With sales, a short and final no saves everyone time. Thank them and say you're not interested. If you want no more follow-ups, say that too.
Money requests from friends or family are harder. Be honest that you can't, without listing your finances. If you can help in another way, say how.
A sales email
Thanks for reaching out. We're not interested at this time, so please take us off your follow-up list.
A sales call follow-up
Thanks for the demo. We've decided to stay with our current tool, so we won't be moving forward. Good luck with the launch.
A friend asking to borrow money
I'm sorry you're dealing with this. I can't lend money right now, but I'd be glad to help you look at other options or go over a budget together.
A donation request
Thank you for thinking of me. I've already set my giving for this year, so I'll have to pass, but I wish you luck with the fundraiser.
Get help writing your no with Preener
If you're staring at a message and don't know how to answer, Preener's Reply action can help. Paste their message, tap No (or write your answer in a few words) and pick who they are and a tone. It writes the whole reply from there, and it only uses what you tell it, so it won't agree to things you didn't say.
On Android, the Preener AI Keyboard can write replies to a message you copied, right in the app you're using. The same Reply action works in the Chrome extension and on the web at preener.ai. For a formal no at work, try Professional email.
Questions, answered
How do you say no without feeling guilty?
Remember that a clear no is fairer to the other person than a slow maybe. Keep it short, thank them, and don't over-explain. The guilt usually fades faster than the stress of doing something you didn't have time for.
Do I have to give a reason when I say no?
No. A short reason can soften the message, but "I can't make it" or "I'm not able to take this on" is enough. Long excuses invite the other person to solve them.
How do you politely decline an invitation by text?
Thank them, say you can't come, and wish them a good time. If you'd like to see them, suggest another plan. "Thanks for inviting me! I can't make it Saturday, but let's get dinner soon" works for most cases.
How do you say no to your boss professionally?
Say what you're already working on and ask which task should move. That turns a no into a choice about priorities, which most managers will welcome.
